Every Punjab Police missal is still a human file. No tool visits the scene, examines a witness, or decides a chalan. What does vary is how hard it is to keep one case identity — FIR number, year, station, party names, offence line — identical on zimni, fard, applications, and chalan, and whether printouts match the paper size your reader expects. This article compares manual missal writing (register, notebook, and disconnected Word or InPage files) with template-based writing where one case record feeds many forms. Manual writing means the FIR lives in the register, the diary lives in a notebook or a one-off computer file, the fard is typed again, the application is typed again, and the chalan is typed again. Each typing is a chance to change a parentage, a year, or a station name. Manual writing is honest work. It is also slow at the point where the law asks you to repeat the same identity on many sheets.

Software writing in MPW means the FIR is entered once as a case record. Templates insert those facts into zimni, applications, fard, chalan, index, and the other layouts your station actually uses. Inspection officers and defence readers are trained to hunt mismatch. FIR number on the cover that does not match the zimni heading, accused spelling that changes between fard and chalan, a victim who becomes a different person on an application — these are manual-process errors as often as they are investigation errors. Keywords reduce that class of mistake when the source record is correct. They increase it if you leave last month’s name inside a shared template.

Discipline is the same in both methods: copy the register, then reuse that copy. In MPW, reuse is automatic after a clean FIR screen. In Word, reuse is copy-paste, which still drifts. Punjab stations are not uniform. Some readers still want Legal. Some printers are loaded with A4. Manual files suffer when an officer photocopies a Legal chalan onto A4 and cuts the last lines of Urdu. Software files suffer the same cut if the template page size does not match the tray. Manual writing’s worst risk is a lost notebook. Software writing’s worst risk is a modified installer from a chat group. A tampered program can damage the PC, leak case data, or silently change templates. That is not efficiency. That is an integrity failure. Return on officer hours is not a slogan. Count the repetitions. A modest file may need a FIR identity on zimni (several dates), fard, map heading, two applications, 160 attendance, chalan, prosecution memo, and index. Manual method: type or write that identity on each sheet, then proof each sheet. Software method: type it once, proof the source, generate the sheets, proof that keywords filled. The field work is identical. The clerical loop is shorter, which matters when the same IO holds many files.

Hours return only if templates are clean and if officers do not “fix” a single printout by hand. A handwritten patch on chalan that never reaches zimni is negative return: you spent time creating a new contradiction. Supervisors who insist on one identity line across the missal will see the benefit; supervisors who only count pages will not.

Hours also return at reprint time. Manual files force a full retype when the accused parentage is corrected. Software files correct the FIR record and reopen templates. That is the same legal duty — keep the register and the missal aligned — done with fewer officer-hours. It fails if people keep a private Word copy “just in case” and print from that copy instead of the case record. Pick one source and retire the stray files. Scene notes, a quick sketch before the map is inked, a lock-up register, and signatures on the FIR book remain manual. Software does not replace the register. It mirrors it. If the generator is down, write the diary on paper rather than invent a backdated batch of zimni later. When the PC is back, enter the same facts; do not “improve” times. Example: an IO has a hurt case with five dated zimni, one fard, one map, two applications, chalan, and index. Manual typing of headings and parties on each sheet, plus a second pass to align spellings, consumes a long clerical sitting after the investigation work is already done. The same IO, with a correct FIR record in MPW, generates those sheets and spends the sitting on whether the diary actually supports the chalan — which is the sitting that matters. If you are choosing a method for authorised work, start with a clean install, a correct FIR screen, and the print size your reader uses. Then write the file in the legal order: FIR, zimni, recoveries, applications, chalan, index. That order does not change if you type by hand or generate from MPW.
