Police documentation in Pakistan is not a private office habit. Criminal procedure tells officers that certain acts must leave a paper trail: information of a cognizable offence, investigation steps, arrest, attendance of persons who can speak to facts, search and seizure, process against absconders, and the report that sends a case toward a magistrate. The Pakistan Penal Code names offences; it does not write your zimni for you. This article restates those documentation duties in original English. It does not reproduce statute wording. Confirm every power and time limit in the gazette or in the public code PDFs introduced on Other Docs & Books. Software can help keep headings aligned on authorised papers, but it is not a source of law. More guides: Resources.

Why documentation duties exist دستاویزات کی ذمہ داریاں کیوں ہیں
A later reader — magistrate, prosecutor, defence, or a supervisory officer — was not at the parking lot, the house, or the lock-up. The missal is how they test whether investigation was real. Police documentation duties exist so that coercive steps (arrest, search, process) can be examined, and so that ordinary steps (a visit, a statement, a parcel to the laboratory) have dates. Poor Urdu is forgivable. A missing date on a diary, an arrest with no arrest form, or a proclamation with no record of efforts to find the person, is not a font problem. It is a duty problem. The bound file — sometimes called the police packet when it is packed for court — is the same missal described in police missal writing in Pakistan and index and packing standards.
Punjab Police standing orders add local forms, copy counts, and inspection checklists. High Court packing notes add order of papers. Those instruments sit beside the codes. Read them as your district currently issues them. A website PDF is a study copy. The gazette and current circulars remain the authority. Station registration practice is in FIR registration in Punjab Police. File-building order is in police missal writing in Pakistan.
How this page cites CrPC and PPC یہ صفحہ CrPC اور PPC کا حوالہ کیسے دیتا ہے
We cite by section name: CrPC provisions on FIR, CrPC provisions on arrest, CrPC provisions on 160 attendance, CrPC provisions on warrants, CrPC provisions on proclamation, CrPC provisions on the police report to the magistrate, and PPC offence names as they appear on a registered FIR. We do not paste code text. We do not offer a commentary that pretends to replace a law officer. If you need the wording, open the English CrPC and PPC files from the Books section of Other Docs, or use an Pakistan Code source, then check amendments.
Special statutes (narcotics, anti-rape, and others) create extra documentation in those case types. They are flagged on Other Docs with a warning that PDFs are not a substitute for the Act as in force. This article stays with the everyday criminal-procedure trail that almost every missal still has to show.
FIR papers FIR کاغذات
CrPC provisions on FIR require that information of a cognizable offence be written, acknowledged as the law requires, and entered in the station book. The documentation duty for the missal is: a copy or extract that matches the register, with number, time, place, parties as then known, and the offence line. The narrative should be the information received, not a later theory. If investigation later supports different sections, the diary should explain the change rather than silently rewriting history on the chalan.
Entering that identity once in Missal Police Writing is a clerical aid. The legal act of registration still happens at the station under standing orders. Software steps: How to fill FIR data in MPW. Form overview: MPW forms guide.
Investigation diary تفتیش ڈائری
Investigation is a continuing duty to collect evidence, not a single sitting. The diary (zimni) is how that continuity is shown. Dates, places visited, persons examined, property taken, and process issued should appear as they happened. Internal notes and papers that travel with the file must not tell two different stories. A diary that is written backwards from a chalan is a documentation failure even if the typing is neat.
Progress reports to senior officers are a supervisory overlay. They summarise remaining work; they do not replace the diary. Sample progress-report layout is on Sample Forms. Investigation-quality gaps (missing dates, delayed particulars) are listed in common investigation mistakes. Typing and print gaps are in common missal writing mistakes.
Arrest papers گرفتاری کے کاغذات
CrPC provisions on arrest set when a person may be taken into custody, how grounds are communicated, and what follow-on papers (including production and remand-related requests) the file must support. This article does not list those powers. The documentation duty is narrower and easy to state: if an arrest happened, the missal should contain the arrest form your orders require, with time, place, identity, and the FIR line that matches the register. Photographs on jail robkar or similar sheets must be of the person named, not a leftover image from another case.
Example (not a real case): an officer prints an arrest form the next morning and backdates the time to “look prompt”. That paper will not survive a careful reader who compares diary, lock-up register, and medical examination times. Write the time that happened. MPW can print an arrest layout; it cannot invent a lawful arrest.
160 attendance 160 کی حاضری
CrPC provisions on 160 attendance allow an investigating officer to require a person who appears to be acquainted with the facts to attend and answer questions, within the limits the code sets (including protections that apply to certain persons). The documentation duty is: a notice or talbi that names the right person at a findable address, quotes the correct FIR, and is served in a way your file can later prove. A 160 paper with a nickname and no mohalla is not process. It is waste paper.
Do not use 160 templates as a threat letter. Do not mix 160 attendance with arrest papers as if they were the same act. MPW includes Talbi 160 style forms so the FIR identity stays stable. Choose the form that matches the duty you are actually performing. Print notes: how to print MPW forms.
Warrants وارنٹس
CrPC provisions on warrants govern court-issued process to arrest or to search, and the returns that show what was done. Police writing here is mostly faithful copying: number of the warrant, court, person or place, and the result. A warrant printed from a template with last month’s accused is worse than handwriting a correct return. If no warrant was issued, do not add a warrant sheet because the software list includes one.
Search warrants and searches without warrant (where the code allows) both need seizure documentation that matches the fard and the map. Seals, witnesses, and parcels to PFSA or a chemical examiner are chain-of-custody facts. Digital seizures (phones, IMEI, CDR) need a lawful trail of their own; see digital evidence, CDR, and IMEI.
Proclamation and absconder papers اعلانِ مفرور اور مفرور کاغذات
CrPC provisions on proclamation deal with a person who conceals or absconds so that warrant cannot be executed. The documentation duty is a record of genuine efforts to arrest, last known address, court order where required, and the proclamation paper itself. PO (proclaimed offender / absconder) sheets in a missal are not decoration for a file that never looked for the accused. Head-money or reward criteria, if relevant later, are a separate welfare/policy paper on Other Docs; they do not replace proclamation.
Example (not a real case): an officer prints a proclamation the same week as the FIR because “PO looks serious”, with no diary of visits to the house. That is the opposite of the duty. Process against an absconder is earned by effort recorded on paper.
Chalan / police report چالان / پولیس رپورٹ
CrPC provisions on the police report to the magistrate describe how investigation is presented when it is complete or when the code otherwise requires a report. In station language this is the chalan. The documentation duty is completeness and consistency: accused as now known, sections as now applied, witnesses who actually appear in the diary, property that actually appears on fard, and an index that matches the bound file. A chalan that names a star witness the zimni never met is a contradiction. A chalan that drops a recovery the fard still lists is a contradiction the other way.
Cancellation, discharge, or untraced outcomes, where standing orders provide those paths, need their own papers (for example ikhraj or adam pata style sheets your office uses). Do not use a chalan template for an outcome that is not a chalan. Receipt of chalan is a station fact of the day of submission. High Court packing notes on Other Docs help you order the papers before you go.
Search, seizure, and exhibit lists تلاش، ضبط، اور exhibit فہرستیں
CrPC provisions on search and on seizure of property create a paper trail whenever officers enter a place or take articles into possession. The missal should show authority (warrant or the lawful basis your orders require), who was present, what was found, how it was packed, and where it went next. A fard that lists “various articles” without descriptions is not a seizure record a laboratory or a court can use. Maps should agree with that list. PFSA or chemical-examiner covering papers should quote the same exhibit numbers. If a phone is taken, IMEI and packaging belong on the fard, and any later CDR request should still match the same FIR identity.
Example (not a real case): an officer recovers a bag, writes a short zimni, and only later types a fard that adds a second bag “remembered” at the station. That second bag has no scene witness and no map point. Documentation duty failed even if the first bag was genuine. Write what was taken, when it was taken, and stop. Templates on Sample Forms help layout; they do not licence extra items.
Naming PPC offences on the file فائل پر PPC offences کا نام
PPC provisions name offences and punishments. Documentation duty is to write the offence the way the FIR and later investigation support, not the way a rumour named it. Theft, hurt, robbery, criminal trespass, and similar chapter names are useful in conversation; the file still needs the correct characterisation as registered and as amended with reasons. Do not paste commentary from an old guidebook into a live zimni. Search the PPC PDF for the section you are applying, then write it as your register uses it. Schedule lookups on Other Docs are a shortcut only; confirm bailability and court with a current reader, not from memory of a faded printout.
Where a special law applies instead of or in addition to PPC, say so in the FIR line and keep that statute’s extra papers (samples, special medical steps) with the missal. Mixing a PPC theft story with a narcotics recovery that the diary never described is a documentation collision, not a clever charge sheet.
What software may and may not do سافٹ ویئر کیا کر سکتا ہے اور کیا نہیں
Template-based missal software can keep repeated headings aligned, print A4 or Legal, and store forms your station actually uses. It cannot supply legal cover for a CDR you were not authorised to obtain, cannot backdate an arrest, and cannot turn an empty diary into a lawful chalan. Handwriting versus templates: software vs manual missal writing. Install and Urdu display notes live on the software how-to pages when you need them.
CDR Analyzer is a separate application for operator records after lawful access. It does not replace CrPC process. Overview: CDR analysis for police investigations and MPW vs CDR Analyzer. Questions: Contact.
