An index is a finding aid. It helps a reader locate the FIR, zimni, recovery records, maps, applications, orders, chalan, and other enclosures without shuffling the file. It should describe the physical file actually being submitted — not an early draft that becomes wrong once more pages are added.
Packing is the physical counterpart to the index: confirming that every listed item is present, in order, legible, and complete with its attachments. Officers who search for a police packet mean this same bound missal: FIR, zimni, recoveries, applications, chalan, and index in court order. Directions on how a missal should be arranged — what must not be missing and in what order papers should appear — come from court instructions and standing orders. Follow your district's current instruction where it differs from anything written here; a High Court missal instruction PDF is introduced on Other Docs & Books. Duties behind the papers: police documentation legal framework.

Recommended file order تجویز کردہ فائل ترتیب
Many workflows arrange the file roughly as follows. This is a teaching order, not a legal mandate — if your district issues a different instruction, that instruction governs.
- Covering letter or forwarding note — where the unit uses one.
- Index — placed at the front so a reader can navigate immediately.
- FIR and register record — the source document.
- Zimni — the dated investigation diary.
- Fard and recovery records — with receipts and malkhana entries.
- Maps and naqsha — showing place of occurrence and recovery.
- Statements and witness records — in a stable, referenced order.
- Medical, forensic, and digital records — with their covering papers.
- Applications and process papers — with orders and receipts attached.
- Chalan / police report — and prosecution memo where used.
- Annexures and photographs — flagged clearly, including any required for forms such as Robkar Jail.
The order exists so a reader can move from the identity of the case, through the work performed, to the evidence and the final report, without needing a guided tour. Where an enclosure is particularly important, a tab or flag is more useful than renumbering the whole file at the last moment.
What the index should contain انڈیکس میں کیا ہونا چاہیے
For each item, the index should carry enough information to find it and confirm it is the right document:
- Serial or enclosure number — a stable identifier for referencing in correspondence.
- Description — specific enough to distinguish similar papers ("Statement of witness X dated…", not "Statement").
- Date where relevant, matching the document itself.
- Page range — continuous and accurate against the physical file.
- Number of pages where your format uses it.
Check that page ranges are continuous and that each listed document is physically present. If a document has a separate annex, identify the relationship without creating duplicate or misleading entries. A mislabelled enclosure is worse than an unlabelled one, because the reader will stop checking after the first mismatch.
Print the index last انڈیکس آخر میں پرنٹ کریں
Page numbers change every time a zimni entry, receipt, or annexure is added. An index printed on day one will be wrong on day ten. Print it after the page count is final, then bind it at the front.
If anything is added after the index is printed — a late report arrives, an extra photograph is attached — the affected page ranges must be recalculated and the index reprinted. Handwriting corrections over printed page numbers works against the purpose of the index, which is to let a reader trust it at a glance.
Physical packing checks جسمانی بندش کے چیک
Software cannot staple the file. The physical pass should confirm:
- All pages present, readable, correctly ordered, and not duplicated.
- Photographs, maps, medical papers, receipts, and orders attached where required.
- Seals intact and property references consistent with the recovery records.
- Every application has its relevant order or receipt where one exists.
- Accused photographs attached where a form requires them.
- The chalan identity matches the FIR and the final index.
- Extra copies included if the receiving office still requires them.
- Paper size consistent throughout — a mixed A4/Legal file prints badly and looks careless.
Packing also means noticing what is absent: a referenced attachment that was never filed, a receipt expected but not received, a photograph promised but not printed. It is far better to discover a gap at the station than at the receiving desk.
Final sweep before submission جمع کرانے سے پہلے آخری جائزہ
Walk the file once from the front, reading only the identity line of each document: FIR number, date, station, accused, victim, sections. If one page is wrong, fix the source record and reprint rather than handwriting a patch that other pages will not see.
Then confirm the sequence holds together as a story: the diary shows continuous work, the recoveries appear in the diary and the fard, the applications show their results, and the report summarises what the diary actually records. Any break in that chain is worth resolving before the file leaves the station.
Common identity and print errors that spoil an otherwise well-packed file are listed in common missal writing mistakes; investigation-quality gaps are in common investigation mistakes.
Using MPW MPW کا استعمال
MPW can help create consistent headings, preview layouts, and print documents with the case identity reused from one source record. Check the software's page count against the physical file, confirm the paper size, and read the final printed copy rather than trusting the screen preview alone.
Because templates can be reused, delete any you no longer need so an old case's details never reach a new print. Preview before a full run — A4 or Legal mismatch cuts margins and shrinks Nastaleeq text. Guidance: how to print MPW forms, MPW forms guide, and the complete missal writing guide.
Software cannot replace the final physical packing check. The last step is always a person opening the file and confirming that what the index promises is actually inside.
